AXELLARIS Limited ("we", "our", or "us") runs the AXELLARIS Verify platform, available at https://www.axellaris.com/software/verify. This document explains what personal information we collect, how we handle it, and what choices you have. It covers everyone who uses the platform, including those on a free trial.
We only collect and use personal information to deliver and improve the Service. By using AXELLARIS Verify or our website, you accept the practices outlined here.
2. What We Collect
When you sign up or get in touch, we may collect personal details such as your name, email address, and business name. If you request a consultation or a specific service, we may also ask for your phone number, company name, and the type of business you operate so we can respond appropriately.
Occasionally we may ask about your role within your organisation. This helps us tailor content and features to what is most useful for you.
Customer Data
This is the information you and your team enter into the platform as part of managing your Food Control Plan — things like compliance records, temperature logs, checklists, corrective actions, and uploaded documents. All Customer Data belongs to you. We do not claim any ownership over it.
Log Data
When you visit our website or use the Service, your browser automatically sends technical information such as your IP address, browser type and version, which pages you viewed, when you visited, and how long you stayed. We collect this data to keep the platform running smoothly and to understand how it is being used.
3. How We Use It
Your information is used for the following reasons:
- Running the platform: To deliver, operate, and maintain AXELLARIS Verify and its features.
- Managing your account: To handle subscriptions, process payments, and keep you informed about your account.
- Making improvements: To learn how the platform is used and make it better. We may use third-party analytics tools for this purpose.

- Meeting legal obligations: To comply with applicable New Zealand law.

4. AI And Your Data
AXELLARIS Verify uses AI features to help with compliance-related tasks. Here is how we handle your data in relation to AI:
- Processed internally: All AI processing happens within our own infrastructure. Your data is never sent to external AI providers like OpenAI, Google, or any other third party.
- Not used for training: We do not use your Customer Data to train AI models, whether for you, other customers, or any other purpose.
- Kept separate: Each customer's data is isolated. AI features only work with the data inside your own account.
5. Emails And Communications
When you create an account or submit a contact form, you agree to receive emails from us related to the Service. These include things like account notifications, billing updates, feature changes, and support replies.
If you want to stop receiving non-essential emails, you can unsubscribe using the link at the bottom of any email, or reach out to us directly.
6. Cookies
We use cookies — small data files stored on your device — to keep you logged in, remember your preferences, and gather usage information. You can configure your browser to block cookies, but doing so may prevent some parts of the Service from working properly.
7. How We Protect Your Data
We take the security of your information seriously. The platform is hosted on cloud infrastructure with encryption applied both in transit (TLS/SSL) and at rest. We run regular backups to guard against data loss.
Access to your account and Customer Data is limited to your authorised team members. Our staff will only access your data when it is necessary to provide support, and appropriate safeguards are always in place.
If a data breach occurs that affects your personal information, we will let you know as soon as reasonably possible.
That said, no system connected to the internet is completely immune to risk. While we use industry-standard measures to protect your data, we cannot provide an absolute guarantee of security.
8. Who We Share Data With
We do not sell, rent, or trade your personal information to anyone. The only situations where we may share your data are:
- Infrastructure providers: Trusted third parties that help us run the platform, such as cloud hosting and email delivery services. Some of these providers may store data outside of New Zealand.
- Legal obligations: Where we are required to by law, regulation, or a valid legal process.
- Business changes: If our business is acquired, merges with another company, or sells its assets, your data would continue to be governed by this policy.
We never share your Customer Data with third-party AI companies.
9. How Long We Keep Your Data
We hold onto your data for as long as your account remains active or as long as needed to provide the Service. More specifically:
- While subscribed: Your Customer Data stays in the platform for the duration of your subscription.
- After cancellation: You have a 30-day window to export your data. After that period, your Customer Data may be permanently removed.
- After a trial ends: Trial data is kept for 30 days following expiry, then may be deleted.
- Contact enquiries: Information submitted through contact forms is kept for as long as needed to handle your request and for our internal records.
10. Your Rights
The New Zealand Privacy Act 2020 gives you the following rights:
- Access: You can ask for a copy of the personal information we hold about you.
- Correction: You can ask us to fix any personal information that is wrong or incomplete.
- Deletion: You can ask us to remove your personal information, unless we are legally required to keep it.
- Export: You can download your Customer Data from the platform at any time while your account is active.

11. Under 18s
AXELLARIS Verify is a business tool and is not intended for anyone under 18. We do not knowingly collect personal information from minors.
12. Updates To This Policy
This policy takes effect from February 2026. We may update it from time to time, and any changes will apply as soon as they are published on this page.
We recommend checking back occasionally to stay up to date. If we make significant changes, we will notify you by email or with a visible notice on the website. Continuing to use the Service after changes are posted means you accept the updated policy.
