This Privacy Policy explains how AXELLARIS Limited ("we", "us", "our") collects, uses, stores, and protects your information when you use the Custom FCP / RMP App ("the Service"). By using the Service, you agree to the practices described here.

1. What Data We Collect

We collect the following types of information:

  • Account information: Your name, email address, business name, and role when you create an account.
  • Compliance records: All data you enter into the platform, including temperature logs, inspection records, corrective actions, batch records, training records, and any other compliance documentation.
  • Usage data: How you interact with the Service, including pages visited, features used, timestamps, device type, and browser information. This helps us improve the product.
  • Support communications: Any messages, emails, or files you send us when requesting support.

2. How We Use Your Data

We use your data for the following purposes:

  • Providing the Service: Storing your compliance records, generating reports, running anomaly detection, and delivering the features you signed up for.
  • Improving the product: Analysing aggregate usage patterns to identify bugs, improve workflows, and develop new features. We do not use your individual compliance data for product development.
  • Support: Responding to your questions and resolving issues.
  • Communications: Sending essential service notifications such as maintenance windows, security alerts, or changes to these terms. We do not send marketing emails without your explicit consent.

3. Data Storage

Your data is stored on infrastructure located in New Zealand and Australia, provided by Supabase (hosted on AWS ap-southeast-2). All data is encrypted in transit (TLS 1.2+) and at rest. We do not store your data outside the NZ/AU region.

4. Data Retention

  • Active accounts: Your compliance records are retained for as long as your account is active, in accordance with your compliance plan requirements.
  • Account closure: When you close your account, you will have the option to export all your data before deletion. After export (or after a 30-day grace period), your data is permanently deleted from our systems.
  • Backups: Encrypted backups may persist for up to 90 days after deletion as part of standard disaster recovery procedures.

5. Third Parties

We do not sell, rent, or trade your personal information or compliance data to any third party.

We use a minimal set of third-party services to operate the platform:

  • Supabase: Database hosting and authentication (NZ/AU region).
  • Stripe: Payment processing. We do not store your credit card details directly.
  • Resend: Transactional email delivery for account notifications.

Each provider is bound by their own privacy policies and data processing agreements.

6. Your Rights

You have the right to:

  • Access your data: Request a copy of all personal and compliance data we hold about you.
  • Export your data: Download your compliance records in standard formats (PDF, CSV) at any time from within the platform.
  • Delete your data: Request permanent deletion of your account and all associated data.
  • Correct your data: Update or correct any inaccurate personal information through your account settings or by contacting us.

Under the New Zealand Privacy Act 2020, you have additional rights regarding how your personal information is collected, used, and disclosed. If you believe we have breached your privacy, you may file a complaint with the Office of the Privacy Commissioner.

7. Cookies

We use essential cookies required for the Service to function (authentication, session management). We do not use advertising or tracking cookies. Analytics cookies are only used in aggregate form and do not identify individual users.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by email or through the Service at least 14 days before the changes take effect.
